Team Administration Guide

Everything you need to know about running a team at Quill -- the difference between roles, how to invite folks, and how to keep your team tidy as it grows.


Running a team at Quill should feel as straightforward as using Quill itself. So we built a team management page that gives you a clear view of who's on your team, who's been invited, and what's happened recently.

This guide walks you through the basics, and we've got separate guides that cover each piece in more detail.

Getting to the team page

If you're on a team plan, head to My Account and click "Manage Team". (Or use the "My Team" link in the user menu in the top right.) That's where everything in this guide lives.

The three roles

There are three roles on a Quill team. We use these labels throughout Quill, and we'll use them here too. Here's how they compare:

Role Who they are What they can do
Team Administrator (shown in Quill as "Admin") The person who originally signed the team up. Exactly one per team. Manages billing, invites and removes anyone, and is the only person who can promote or remove Managers.
Manager A newer role that helps the Team Administrator run the team. Invites and removes regular members. Cannot access billing or change anyone's role. Great when a larger practice wants a few trusted people helping keep things up to date.
Member Everyone else on the team. Uses Quill to generate their documentation. No management responsibilities.

If a team ever needs to change who the Team Administrator is, just email us and we'll take care of it.

The four sections of the team page

The team page has a few clear sections:

  • "Team Members" -- everyone currently on the team, with their role badge. You can search and filter by role.
  • "Pending Invites" -- people who've been invited but haven't accepted yet, with the option to resend or cancel.
  • "Team Activity" -- a short log of recent team events from the last 30 days. Useful if you're wondering "did Sarah ever accept that invite?" or "when did we add Mike?"
  • "About roles" -- the quick reference described above.

Managers and the Team Administrator see all of this. Regular members don't see the team page at all -- they just use Quill.

Per-person billing on team plans

On a team plan, billing is per person. The first user is $20/month, and each additional team member is $16/month. Members are only added to the bill once they accept their invite. Pending invites don't cost anything.
