A few things you'll probably want to do at some point: update the credit card on file when your old one expires, download an invoice for your records or your accountant, or just check when your next bill is coming. All of those happen through the same "Manage Plan" button on your account page.
Opening the billing portal from My Account
Head to My Account and click "Manage Plan". That opens our billing portal, where the rest of this guide takes place.
Note: the "Manage Plan" button only appears if you have an active paid subscription. If you're on the free trial or you're a regular team member (not the Team Administrator), you won't see it.
Updating your payment method
In the billing portal, you'll see your current payment method listed. To change it:
- Click the pencil icon (or "Add payment method") next to your current card.
- Enter the new card details.
- Save.
The change takes effect immediately. The next time Quill bills you, it'll use the new card. There's no separate confirmation step required.
A few things worth knowing:
- You can have more than one card on file. If you want a backup, add a second one. You can mark one as the default.
- Updating a card before it expires is a good habit -- it avoids the awkward situation of a payment failing because the card on file is no longer valid.
- If a payment does fail, we'll email you about it and automatically retry the charge. Updating the card in the portal resolves it quickly.
Viewing and downloading past invoices
The billing portal has an "Invoice History" section that lists every invoice from your subscription. For each one you can:
- See the date, amount, and status.
- Click to view a detailed receipt.
- Download a PDF copy for your records.
Every invoice is available for the full duration of your subscription -- so even if you need to find an invoice from a year or two ago, it's still there.
If you're filing for reimbursement or running quarterly bookkeeping, it can be useful to download a batch of invoices at once. Click each one and save the PDFs to a folder.
Checking when your next bill is due
The billing portal also shows your subscription details: when your current billing period started, when the next renewal is, and how much you'll be charged. Worth a quick look if you're trying to predict expenses for the month.
What if I never received my invoice?
Invoices are emailed automatically the day they're generated, to the email address on your account. If you didn't get one (and it's not sitting in your spam folder), you can download a copy directly from the billing portal.
If something's still off, email us and we'll track down what happened.
What if a payment failed?
You'll get an email letting you know. You'll also have a grace period to update the card before your access is affected. Update the payment method in the billing portal and the failed charge will be retried automatically. If you'd like a hand sorting it out, just email us.
